Parliamentary Procedures: You cast your ballot and send to Argus Management. You attend the turnover meeting in order to establish a Quorum so the meeting can be declared official.
Use of a Proxy as alternate way to establish a Quorum in order for the proceedings to be declared official. **************************************************************************************************************** Voting Ballot: The homeowner can vote for 5 candidates or less using the Blue Ballot form. Select your candidates and then insert the Ballot form into the blue envelope labeled Ballot. DO NOT SIGN THE BALLOT FORM. Put the sealed Blue Ballot form in the blue envelope designated as Ballot Only Return Envelope and mail. Please be sure to sign the front of this envelope before mailing. Your Unit/Lot # can be found in the Laurel Lakes Directory which is located in the Residents Only Section. **************************************************************************************************************** Voting Certificate: This document must be completed and also mailed. Please be sure to sign, date and then insert into the white envelope. Please be sure to fill in the requested information on the front of the white envelope and mail. Your Unit/Lot # can be found in the Laurel Lakes Directory which is located in the Residents Only Section. **************************************************************************************************************** Use of the Proxy: The homeowner who is UNABLE to attend the turnover meeting is requested to fill out the Proxy Form as instructed and designate another homeowner as their proxy. This is necessary in case we do not have enough homeowners at the meeting to establish a Quorum. By using the proxy form and with your designee at the meeting you will be counted as attending the meeting thus providing a greater chance of declaring the meeting official. Please be sure to sign, date the proxy and then insert into the white envelope along with your Voting Certificate and fill in the requested information on the front of the envelope and mail. If your proxy designee does not attend the meeting you will not be counted as attending the meeting. ****************************************************************************************************************
Definition of a Quorum: The minimum number of members of an assembly that must be present at any meeting to make the proceedings official. In order to have an official meeting, we must have a certain number of homeowners attend the meeting and would urge you to attend. However, if you CANNOT attend the meeting, the use of your proxy would enable us to count you as attending the meeting. Please make sure your appointed proxy attends the meeting.
If we do not obtain a quorum, the meeting will be adjourned without conducting any business and we must wait another 45 days to begin the process anew.
